Transferring schools: protect continuity before changing campus

A successful transfer is an organised handover of learning, records and relationships. Secure the receiving school’s requirements and a workable transition before assuming a change of campus will solve the original difficulty. This guide provides planning questions, not a universal document or legal checklist.

STEP 1

Identify the reason and the intended improvement

Write down why the family is considering a move and what would need to improve. Separate problems that follow the child from circumstances specific to the current setting. A shorter commute, a required subject or a move abroad can create a clear case. A general feeling that another brand must be better needs more investigation.

Where a learning or social difficulty is involved, speak with the current school and collect relevant observations. This does not require staying in an unsuitable placement. It helps the receiving school understand the starting point. Ask the child for an age-appropriate view and avoid promising that every difficulty will disappear immediately. Define a small number of observable goals for the transition.

STEP 2

Obtain a receiving-school answer before withdrawing

Contact the exact campus and intended grade. Ask about availability, placement, curriculum alignment, the application process and what remains conditional. An enquiry, a tour or an assessment appointment is not the same as a confirmed place. Obtain the offer and identify any outstanding documents, approvals or payment conditions.

The UAE government’s switching-schools page distinguishes MoE transfer regulations from a school’s independent criteria. Families should therefore ask which requirements concern official transfer registration and which belong to admissions or placement at the receiving school. Do not apply a public-school registration timetable automatically to a Sharjah private-school transfer. Confirm the current route with the institution and relevant authority.

STEP 3

Build a document list for this particular move

Ask the receiving institution for a dated checklist based on the child’s previous country, school system, current grade and intended start. Common areas to discuss include identity records, recent reports, a transfer or leaving certificate and relevant support information. These are categories to verify, not a statement that every item or attestation applies to every student.

Clarify who issues each record, whether an original is required, any translation or attestation route, the deadline and what may follow later. Keep names and dates consistent across documents. Request guidance before commissioning a translation or paying for certification, especially for a move from abroad. Maintain a simple status list showing requested, received, accepted and still outstanding.

STEP 4

Map learning, especially near qualification years

For a younger child, discuss language, reading, mathematics and familiarity with classroom routines. For a secondary student, obtain a subject-by-subject review. The receiving school should explain how completed study maps to its sequence, which gaps need attention and whether a change affects examination entry or qualification timing.

In an American pathway, ask how credits will be reviewed; in a British pathway, ask about examination boards, specifications and subject availability. For other systems, identify the relevant board and progression rules. Do not assume identical grade numbers mean identical content. If moving into a critical examination stage, resolve the learning and qualification plan before treating the transfer as a simple administrative change.

STEP 5

Coordinate notice, money and the handover

Read the current school’s withdrawal and notice policy and the receiving school’s payment conditions. Confirm deposits, any balance, unused services and document-release arrangements through the applicable written policies. Avoid assuming that two institutions use the same refund schedule. Keep copies of notices and acknowledgements, with dates.

Arrange a learning handover where appropriate: reports, useful teaching strategies, agreed support and a clear contact person. Share sensitive records through the institution’s appropriate channels and ask who needs access. If a support arrangement was promised, confirm how it will operate from the first day rather than accepting an informal intention with no named responsibility or review date.

STEP 6

Review the first weeks against the original goals

Plan a familiarisation visit if available, a clear arrival arrangement and a named adult the child can approach. Discuss how parents will receive an early update and when the receiving school will review learning and social adjustment. Give the child practical information without presenting the new school as a test they must immediately pass.

At review, compare observations with the original reasons for moving. Ask whether the learning gaps are understood, the support is operating and daily travel is workable. A difficult morning does not prove the transfer failed, and initial excitement does not prove every issue is solved. The aim is a stable transition with evidence of progress and a shared plan for unresolved concerns.

Questions that deserve specific answers.

Record the answer, its source, the date and what remains unresolved. Do not treat an undocumented conversation as an individual institutional commitment.

  1. What conditions remain before the place is confirmed?
  2. Which documents apply to our previous system and country?
  3. How will completed subjects and credits be recognised?
  4. What notice and payment obligations apply?
  5. Who will review learning and adjustment after arrival?
